Terms & Condition
These are the terms and conditions of any contract between Emmy’s Wild Trails (the provider of travel services) and you (all persons named on a booking and traveling with us). They are important, so please take time to read them carefully.
By confirming travel with Emmy’s Wild Trails, you acknowledge that you have read, understood, and agreed to the terms and conditions described below.
If you have any questions or doubts, please contact us before making your booking.
1. Booking & Payment
1.1 All services are subject to availability and are only guaranteed once confirmed in writing.
1.2 A deposit of 50% of the total tour cost per person is required at the time of booking. Some tours may require a higher deposit, which will be communicated before confirmation.
1.3 Gorilla permits must be paid for in full at the time of booking and are non-refundable. This is in addition to the standard non-refundable deposit.
1.4 The balance of payment is due 30 days before the start of your tour, unless otherwise agreed. A partial payment arrangement may be possible in some cases. Failure to make payment without notice may result in cancellation, in which case normal cancellation fees apply.
1.5 For bookings made within 30 days of the tour start date, full payment is required immediately. A binding contract is formed once we issue your confirmation invoice.
1.6 At the time of booking, you must provide full details for all travelers (names as they appear on passports).
2. Prices
2.1 All prices are quoted and payable in US Dollars unless otherwise stated.
2.2 Prices quoted by Emmy’s Wild Trails are subject to change until the time of confirmation.
2.3 Unless otherwise specified, prices include:
Accommodation as per itinerary
National park and reserve entrance fees
Overland transportation
Services of professional guides and crew
Meals as stated in the itinerary
2.4 Prices exclude:
International flights
Visas and passport fees
Travel and medical insurance
Tips and personal expenses
Optional activities not specified in the itinerary
3. Cancellations & Refunds
3.1 Cancellations must be made in writing and are effective upon receipt by Emmy’s Wild Trails.
3.2 The following cancellation charges apply:
More than 60 days before departure: 25% of tour cost
30–60 days before departure: 50% of tour cost
Less than 30 days before departure: 100% of tour cost
3.3 No refunds are given for unused services, late arrivals, or early departures.
3.4 Gorilla permits and other special permits are strictly non-refundable.
4. Travel Insurance
4.1 Comprehensive travel insurance is mandatory for all travelers. This must cover medical expenses, emergency evacuation, cancellation, and loss of property.
4.2 Proof of valid insurance may be requested before the start of your tour.
5. Health & Fitness
5.1 It is your responsibility to ensure you are medically fit to participate in the tour you book.
5.2 Please consult your doctor regarding vaccinations, malaria prophylaxis, and altitude-related health concerns (especially for Kilimanjaro trekking).
5.3 Emmy’s Wild Trails is not liable for illnesses, injuries, or conditions arising during your safari or trek.
6. Passports & Visas
6.1 All travelers must carry a valid passport with at least six (6) months’ validity beyond the date of departure.
6.2 It is your responsibility to obtain all required visas and travel documents.
7. Responsibilities & Liability
7.1 While Emmy’s Wild Trails takes every care to ensure your safety and enjoyment, travel in Africa may involve risks beyond our control, such as changes in schedules, weather, road conditions, or wildlife encounters.
7.2 We are not liable for injury, loss, damage, delay, or inconvenience caused by third-party service providers, natural disasters, strikes, political unrest, or other circumstances beyond our reasonable control.
7.3 We reserve the right to alter itineraries if necessary for safety, comfort, or practical reasons.
7.4 Travelers are responsible for their personal belongings at all times.
8. Complaints
8.1 If you are dissatisfied with any aspect of your trip, please notify your guide or our local office immediately so we can resolve the issue.
8.2 Complaints not reported during the trip must be submitted in writing to Emmy’s Wild Trails within 14 days of the tour’s end.
9. Governing Law
9.1 These Terms & Conditions are governed by the laws of Tanzania.
9.2 Any disputes shall be resolved by the courts of Tanzania.
